You do not need to know every technical term for a first meeting. Being able to explain what your business does, how it currently works and where you need support is a useful start. A little preparation helps keep the discussion focused.
Describe the business in a few sentences
Summarise what you sell, whom you serve and how you earn revenue. Mention online sales, international transactions or employees where relevant. If you are starting a business, separate existing activities from future plans.
Outline the current process
- The document and accounting applications you use.
- Who collects documents and how they are shared.
- Transactions you find hard to track and questions you need answered.
- Changes you are planning and their expected timing.
A general outline may be enough for the first contact. If detailed financial documents are needed, agree which documents to share and through which secure channel. Do not enter passwords or identity details in the website contact form.
A productive first meeting leaves everyone clear about the next step.
Agree four points before the meeting ends
- Which services are included in the engagement.
- Which information and documents you will prepare.
- The contact person and communication channel.
- The agreed timing for the next meeting or document handover.
Discussing the scope and what the fee covers reduces later uncertainty. Obligations that depend on the business structure need to be assessed separately using the information provided and current rules.
